How to Reclassify Transactions in Bulk in QuickBooks Online
There are two main methods to reclassify transactions. Method 1 is the best for moving many transactions at once.
Method 1 Using the Reclassify Tool (Accountant Toolbox)
Available in QuickBooks Online Accountant (QBOA). Only accountant users can access this; client users cannot. This method is ideal for bulk reclassification.
Steps: Reclassify Transactions in Bulk
Step 1 — Open the Reclassify Tool
- Go to Accounting (from the left menu).
- Select Reclassify Transactions (under Accountant Tools).
Step 2 — Choose the Account
- Select either Profit & Loss accounts (Expenses, Income) or Balance Sheet accounts.
- Choose the account you want to reclassify transactions from. Example: “Meals and Entertainment” → change to “Office Supplies”.
Step 3 — Filter Transactions
Apply filters to narrow down the list:
- Date range
- Transaction type
- Class
- Location
- Supplier/Customer
Click Apply.
Step 4 — Select Transactions
Check the boxes for all transactions you want to reclassify. You can select all using the box at the top.
Step 5 — Reclassify
- Click Reclassify at the bottom.
- Choose the new account (e.g., change from “Repairs Expense” to “Equipment”) and optionally a new class.
- Click Apply. All selected transactions are now reclassified in bulk.
Important Limitations
Not all transactions can be reclassified:
- Deposits linked to customer payments
- Journal entries with AR/AP lines
- Inventory items using QBO’s inventory system
- Reconciled transactions (unless unreconciled first)
- Payroll transactions
- Multi-line transactions where only some lines can change
- Banking transfers
Most expenses, checks, bills, and credit card transactions can be reclassified.
Method 2 Using Banking Batch Actions (Limited Use)
If the transactions are still in the bank feed, you can categorize them in bulk before adding to the books:
- Go to Banking.
- Select the transactions.
- Click Batch actions → Categorize selected.
Once transactions are recorded in the books, use Method 1 instead.
Options if You Don’t Have QuickBooks Online Accountant (QBOA)
- Invite your accountant to perform the bulk reclassify.
- Upgrade temporarily to QBO Accountant (free for accountants).
- Edit transactions one-by-one (last resort).
